Western Academy of Beijing is looking for Admissions Specialist who serves as first contact point in school for families who are making initial admissions inquries, withdrawals or requesting student records. 

The sucessful candidate should have strong interpersonal skills to foster positive working relationships with parents, students, staff and different constituency groups in an intercultural context as well as capable of taking initiative to work and demonstrate excellent communications skills, both oral and written in English and Chinese.

JOB DESCRIPTION

Purpose

Provide a responsive admissions service in dealing with general application inquiry and student enrollment, and ensure an efficient and timely procedure to maintain students and families’ databases information.

Guidance: WAB Admissions Policy and Procedures; WAB Enrollment Procedures; WAB Leaving Procedures

Objectives:

  1. Serve as first contact point in school for families who are making initial admissions inquiry, withdrawing or requesting student records which may include academic transcripts/school reports and/or other enrollment related documentation.
  2. Maintain an efficient students and families’ database information in timely manner, including but not limited to PowerSchool and OpenApply.
  3. Prepare student enrollment lists, statistics and reports when required.

Main Responsibilities

Communication, Teamwork & Collaboration, Attention to Detail, Technical Expertise

Support admissions process in attending to initial inquiries; ensure accurate inquirers/ applicants information and assign Admissions Officer to follow up with leads;

 

Process and maintain an efficient and timely procedure for registering new students and withdrawing students in the relevant student database, which includes but not limited to PowerSchool and OpenApply;

 

Generate student and family statistics and reports as assigned;

 

Provide students data and/or contact information to school business units and ParentLink when required;

Work closely with the PowerSchool Administrator and Legal Affairs Officer to ensure all families have accurate and updated accounts, which includes but not limited to contact information and valid passport/visa documentation.

 

Communication, Service Excellence, WAB Fit, Attention to Detail

Follow up with parents to submit missing documents after enrollment which may include but not limited to Chinese resident permit; medical insurance card; official academic transcript, etc.;

Organize annual re-enrollment process, and communicate with families for enrollment confirmation;

Collect, analyze and report the results of withdrawal to relevant parties while ensuring positive communication with withdrawing families;

Notify relevant parties of the leaving students, and email WAB Leaving Procedure to related families;

Coordinate with Alumni Officer to prepare leaving certificates and gift bags for students, and conduct annual alumni survey;

Create students digital cumulative file and maintain up-to-date student relevant record which includes past year school reports, academic transcript and diploma certificate;

Prepare and/or collate the Letter of Attendance, school reports, academic transcript and any other related documents for students/alumni when requested by parents.

 

PERSONAL SPECIFICATIONS

The successful applicant is expected to have the following skills, abilities, knowledge and experience:

 

Qualifications:

Undergraduate degree or equivalent qualification in a related field

 

Experience:

  • At least 2 years working experience in education environment; or office administrations in related field
  • Experience working in an English speaking environment
  • A sound understanding of a diverse international community and educational environment

Skills and abilities

  • Strong interpersonal skills to foster positive working relationships with parents, students, staff and different constituency groups in an intercultural context
  • Capable of taking initiative in work, including the ability to think ahead and work flexibly without constant direction
  • Excellent communications skills, both oral and written in English and Chinese
  • Flexible and willingness to both work and working hours; position may require school holidays responsibilities
  • Positive and dynamic can-do attitude and ability to work both independently and collaboratively
  • Highly organized and able to multi-task
  • Capable to maintain confidentiality
  • Computer literate especially in Word, Excel and Office 365
  • Experience with student database management systems, such as PowerSchool and OpenApply will be an advantage
