Western Academy of Beijing is looking for an Events Co-ordinator working in the Communications department to support and manage two upcoming events: WAB's 25th Anniversary celebrations and the Future of Education Now Conference. The successful candidate is expected to have experience managing projects or large scale events and demonstrate excellent communication, interpersonal skills and ability to develop positive working relationships with internal and external stakeholders at all levels in an intercultural context.  Other skills required for this role include being highly organised and a having a high level of organization skill, commitment and professionalism.

JOB DESCRIPTION

Purpose

To support and manage WAB 25th Anniversary celebrations and the Future of Education Now Conference

Guidance: Integrated Marketing and Communications Strategy; and School Strategic Plan

Objectives:

  1. Support the execution of the 25th Anniversary celebrations, including joining the planning committees and supporting the logistics of each event
  2. Be the key project coordinator for the Future of Education Now conference, including Speaker and delegate management and main assistant to run the project. 

Operating Network

External: International school community, sponsors, delegates, speakers, the Event Management Agency (EMA)

Internal: Anniversary Steering committee, FEON steering committee, teachers, students and parent community

 

Main Responsibilities

25th Anniversary

Team co-ordinator for the event steering committee – including arranging meetings, circulating relevant papers, minuting and chasing internal actions Supporting the Advancement officer in running events, liaising with sponsors and coordinating with other organizers as needed

 Future of Education Now

  • The main point of contact for Conference speakers, exhibitors and participants
  • Deal with delegate queries, FAQs and any issues arising
  • Managing speaker contracts and other speaker requirements
  • Team co-ordinator for the event steering committee – including arranging meetings, circulating relevant papers, minuting and chasing internal actions
  • Day-to-day management of the registration platform, in conjunction with the EMA
  • Working closely with the EMA to ensure the overall smooth running of the conference
  • Supporting the reconciliation of ticket transactions including event participant fees
  • Working with the EMA to ensure that reconciliation processes are robust and accurate
  • Assisting on specific projects as required
  • Administrative duties as required

PERSONAL SPECIFICATIONS

The successful applicant is expected to have the following skills, abilities, knowledge and experience:

Qualifications:

Bachelor degree in Event Management, Project management, Marketing, Communications or relevant academic qualifications;

Experience:

  • Experience managing projects or large scale events
  • Good understanding of a diverse international community and educational environment
  • Experience in working in the non-profit sector is an advantage
  • Good understanding of WAB

Skills and abilities:

  • Excellent communication, interpersonal skills and ability to develop positive working relationships with internal and external stakeholders at all levels in an intercultural context
  • Ability to use online event platforms management (or able to quickly learn with training provided)
  • Understanding of data, imports, exports and reports
  • Demonstrate ability in handling sensitive issues, grievances and confidentiality
  • Demonstrate high level of organization skill, commitment and professionalism
  • Excellent communications skills, both verbal and written in English; reasonably proficient in Chinese and/or another language is desirable but not essential
  • Positive and dynamic can-do attitude and ability to self-manage and work independently and collaboratively within and across multiple teams
